1. Scope

We are committed to protecting the privacy and security of all personal and payment-related data that we collect. This Policy explains what personal data we collect, how we use it, when and with whom we share it, how we store it, and the rights you have with respect to your data. This applies to event organisers, attendees (ticket buyers / registrants), and visitors to our platform.

2. Information We Collect

Organiser data: Organization name; contact person name; organisation contact details (address, email, phone); business / financial / tax details (if needed for payouts); login credentials (if account created); other business-related information.
Attendee / Registrant data: Full name; email address; phone number; postal address (if required); demographic or profile data (if provided in RSVP/registration form); payment information (as required by payment gateway); ticket/booking history; generated QR / entry-code linked to registration.
Technical & metadata: Device / browser / IP information; timestamp of registration; event metadata (event ID, booking ID, transaction ID, QR-code ID, entry-scan metadata) as needed for QR generation and entry verification.
Usage data: Cookies or similar tracking technologies (if implemented), preferences, usage logs — to operate, improve and secure the platform.

3. Purpose of Processing

We collect and process this information to:

Enable registration of events by organisers and manage event-related data.
Allow attendees to register for events, purchase tickets/RSVP, and facilitate payment processing.
Generate and deliver QR codes (or unique entry codes) to attendees for entry at events.
Allow organisers to scan QR codes at event entry to confirm attendance and manage check-in/entry flow.
Handle billing, refunds, payouts to organisers (if applicable), and maintain transaction records.
Provide customer support and communication (via email/SMS/WhatsApp) — confirmations, receipts, QR codes, updates, reminders.
Prevent fraud, detect misuse, ensure security and integrity of transactions and entries.
Comply with legal, regulatory, or audit requirements (as required by payment gateway or other regulations).
Improve and operate our platform — analytics, performance monitoring, debugging, user experience enhancements.

4. Sharing & Disclosure of Information

We do not sell your personal data. We may share or disclose your data in the following circumstances:

With payment gateway providers, banks, payment processors — to complete transactions, handle refunds/payouts, compliance, fraud checks.
With the event organiser (for attendee-related data) — e.g. when you register for an event, organiser will receive necessary attendee information (name, contact, ticket/booking info, QR/entry code) to manage event attendance and communications.
With service providers, contractors or partners engaged by Zaple (e.g. email/SMS/WhatsApp services, hosting, analytics, security) — strictly for providing services to you.
If required by law, court order, or regulatory request — to comply with legal/regulatory obligations.
In case of merger, acquisition or sale of company (or business unit) — subject to confidentiality and only as part of business-transfer processes.

5. Data Retention & Deletion

We retain personal data only as long as necessary for the purposes stated above (including transaction history, audit, compliance, record-keeping). Once data is no longer required, we will securely delete or anonymize it — except where retention is required by law or contractual obligations. If you request deletion or withdrawal of consent (where applicable), we will process such request in accordance with applicable law, unless retention is mandatory for legitimate business or legal reason.

6. Security & Protection

8. Payments & Payment Data Handling

When you make a payment (for event ticket, registration fee, etc.), your payment data (card/UPI/bank/payment method) is processed by the payment gateway. Zaple acts as the facilitator / merchant-of-record under the registered Event-MID. We collect only necessary information to complete the transaction (payment amount, transaction ID, status, minimal billing/contact info). Sensitive payment credentials are transmitted only to the payment gateway and are not stored by Zaple in plain form, in compliance with applicable payment security standards (e.g., PCI-DSS).

We store transaction metadata (payment timestamp, transaction id, order details, billing name & contact, ticket/booking id) to allow issuance of receipts, refunds (if applicable), audit, and compliance. This data may be shared with the organiser (for payout reconciliation) or relevant financial partners, strictly on a need-to-know basis.

9. Cookies & Tracking (If Applicable)

If our platform uses cookies or similar tracking technologies, we may collect certain technical/usage data (browser, device, IP, session data, preferences) to ensure proper functioning, remember user preferences, analyze usage, and improve user experience. You have the right to accept or reject cookies (where optional) and to control tracking, per applicable law.

10. Minors / Under-Age Restrictions

Our Services are intended for users aged 18 years or above. We do not knowingly collect personal data of minors. If you believe we have collected information from a minor, please contact us — we will promptly delete such data.
